Who we are
Summer Care Home is a mental health clinic in Kampala, Uganda. We are responsible for the personal data you share with us through this website. We process it in line with the Data Protection and Privacy Act, 2019 and its regulations.
What we collect
- Contact and appointment requests: your name, email, phone number (optional), preferred contact method, the service and date you are interested in, your organisation (for workplace enquiries) and your message.
- Online bookings: your name, email, phone number, the counsellor, service and time you choose, whether it is your first visit, and anything you choose to tell us in the notes.
- “Match me” requests: your name, email, phone number, what you would like help with, the service and times that suit you, your preferred language, how soon you would like to start and anything you choose to tell us. Counsellors deciding whether to take your request see only what you need help with and your preferences; your name, contact details and note are shown only to the counsellor who takes it and the staff who oversee clinical care.
- Client portal: if you sign in, your name, email and phone number, the intake form and informed consent you complete, your typed signature, and the answers and scores of any self-checks (PHQ-9, GAD-7) you take. These are used only to provide your care.
- Technical information: our servers keep short-lived logs (such as IP address and browser type) to keep the website secure and working.
We do not use advertising or tracking cookies. The website sets one essential cookie to keep forms secure.
Why we use it
We use your details only to respond to your enquiry and arrange the support you asked for. We rely on your consent, which you give when you submit the form. We never sell your information or use it for marketing without asking you first.
How we protect it
- The website uses encrypted connections (HTTPS).
- Your messages, booking notes and phone number are encrypted in our database.
- Only authorised Summer Care Home staff can see enquiries and bookings, and email notifications to staff do not contain your message, notes or phone number.
- Intake forms and self-check answers are encrypted in our database. You sign in to the client portal with a one-time link sent to your email; we never store a password for you.
- Your booking confirmation contains a private link to view or cancel the appointment. Please do not share it.
How long we keep it
Website enquiries are deleted automatically 12 months after we receive them. Appointment bookings, client portal forms and self-checks are kept as part of your record with us so we can provide continuity of care. If you become a client, your clinical records are kept separately under our clinical confidentiality policy.
Who we share it with
We do not share your information with anyone outside Summer Care Home, except our hosting and email providers who process it on our behalf, or where the law requires it, or where there is a serious risk to someone’s safety.
Your rights
You can ask to see the information we hold about you, ask us to correct or delete it, or withdraw your consent at any time. Contact us at support@summercarehome.com or +256 793 147 346 . If you are not satisfied with our response, you can complain to the Personal Data Protection Office of Uganda.
